Job Description
Main objective
A Group Purchasing Manager leads the entire process that includes identifying the need, determining the best source from whom to buy a product, deciding how many to buy, negotiating the contract and ensuring compliance with rules and regulations within the PPHE Hotel Group.
A Group Purchasing Manager will always seek for the highest quality products at the lowest purchase costs by always compare different suppliers who offer varying costs and qualities; he will manage the purchasing and inventory activities, estimate the product availability and will control and develop policies and procedures.
Main tasks and responsibilities
Leading the purchase department and define the procurement strategy for PPHE Hotel Group
Enhance the departmental policies & procedures in developing and implementing purchasing strategies for products. And ensuring compliance with the policies and procedures
Ensure identifying trading & sales strategy for supplies products.
Ensure that a track record of delivering results in the area of cost reduction, service levels and quality and inventory levels is in place
Ensure that data of market and customer information and provided feedback on future buying trends is available
Develop and review purchase requests and ensure authorization as necessary to facilitate the timely purchase of hotel supplies products.
Ensure purchase requisitions are made, approve purchase orders in accordance with the company policy and negotiated terms and conditions.
Identifying needs and select potential suppliers
Maintain communication with existing suppliers and continually network and building relationship with potential product suppliers
Ensure potential cost savings will be identified
Ensure a forecast of procurement needs
Structuring product contracts.
Negotiating the terms of an agreement and closing sales
Developing and overseeing budget
Soliciting bids and reviewing bids
Negotiating and awarding contracts
Ensure that the delivery of products and inspecting of the products are according to standards
Ensure the company maintains a properly stocked inventory
Ensure that corrective and preventative action will taken immediately when there are unacceptable or defective good delivered including discussing and determining the problem with clients/manufacturers and transporters
Make sure that quotations are reviewed; negotiation of prices and delivery terms with our manufacturers and suppliers.
Make sure that procurement files are in orderly and updated by the day.
Be responsible for planning, developing and buying materials, parts, supplies and equipments in a timely and cost effective way; timely manner while maintaining appropriate quality standards and specifications
Overseeing procurement staff.
Training purchasing team members

Understanding of supply chain
Knowledge of municipal budgeting & accounting principles and practices and required maintenance of record
Have a solid financial and analytical foundation
Relevant work experience as a purchase manager / director
Minimum work experience of 10 years
Able to work in a paced working environment
Fluent in English
